New laptop? A checklist before transferring your files

Getting the new laptop running is only part of the job. Your documents, photos, email and familiar apps also need attention. Keep the old computer intact until you have checked the things you actually use.

1. Make a list of what matters

Check Documents, Desktop, Downloads and Pictures, plus any folders you created elsewhere. Include bookmarks, locally saved emails and the programs you rely on. Note which files are already in cloud storage and which exist only on the old laptop.

2. Make a separate backup first

Copy important files to suitable external storage or a trusted backup service before starting the move. Open a few copied files to check that you can read them. Keep the originals; moving a folder is not the same as keeping an independent backup.

3. Prepare your accounts and apps

Make sure you can access your own account recovery phone or email. Have app licences or purchase details available where needed, and enter passwords yourself. Copying documents does not automatically install every program or transfer its licence.

4. Choose a transfer method that fits

For a Windows PC, Microsoft's guidance covers moving files with external storage and other supported options. The right method depends on the old and new devices, available space and where the files are stored. A failing drive needs specialist assessment rather than repeated transfer attempts.

5. Check before retiring the old laptop

Open important documents and photos on the new computer, test email and try printing. Check older folders as well as recent files. Keep the old device and backup until you are satisfied nothing important is missing.
